A white label WhatsApp chatbot lets an agency offer AI customer conversations under its own brand. Depending on its configured knowledge and integrations, it can answer business questions, qualify enquiries and carry out permitted tasks on WhatsApp.

An assistant explaining a returns policy needs approved information. An agent changing a delivery address also needs access and permission to update the order. For agencies, WhatsApp API providers and automation consultants, evaluating those capabilities alongside client controls and delivery costs helps define the service they can sell.

1. What is a white label WhatsApp chatbot?

The provider supplies the underlying conversational platform. Your agency manages the client relationship, service scope and retail pricing, including the work needed to prepare and maintain each deployment.

Check where the branding appears. The client portal may use your agency's logo, colors and custom domain. Customers still communicate with the client's business number through WhatsApp.

Also review the client experience beyond the dashboard: invitations, notifications, support contacts and billing. Confirm which elements the selected plan lets you customize. Your privacy information and agreements should still explain how the service handles client and customer data.

2. Key features agencies must evaluate

Answers based on approved business information

The assistant should use the client's selected knowledge sources to answer questions about services, products and policies. Customers can phrase the same question differently or ask a follow-up, so test those variations during the demonstration.

Include a question the documents do not answer. Review whether the assistant explains the limit or offers the agreed support route. Using business information helps ground the response, but answer quality still needs checking.

Knowledge sources your team can maintain

Check whether the platform supports the material clients already use, such as website pages, PDFs, spreadsheets and direct text. Then test replacing an outdated source and reviewing the resulting answer.

Ask how your account managers will identify the document behind an incorrect response. The update process should be practical enough for routine changes to prices, hours or service information.

Lead capture and enquiry delivery

The Lead Agent can collect the details needed for a sales follow-up. Evaluate the fields your client needs and what happens when a customer skips a question, changes an answer or gives an incomplete contact detail.

Follow a completed enquiry into its destination. Staff should receive the information in a usable form, whether through a configured notification or a connected workflow. Collecting a field in chat does not by itself confirm that the sales team received it.

Connected tasks through the Action Agent

Robofy's Action Agent covers tasks connected to business systems, including order updates, account changes and appointment scheduling. The available actions depend on the integrations and permissions configured for that client.

For a booking workflow, test both availability lookup and the creation of the appointment. For an order change, check customer verification, the permitted change and the result recorded in the order system. A successful demonstration should show the completed task and how failures are handled.

Human handoff and team follow-up

Test a request to speak to a person. Review the resulting support request, available customer details, conversation summary and notification destination.

Robofy's human handoff guide describes requests for the team to follow up. Check the behavior of your intended WhatsApp setup, including further automated replies and how staff respond. A notification, an assigned support request and a live takeover are different steps.

3. WhatsApp AI agent use cases by industry

Choose use cases from the questions a business already receives. The same platform can support different tasks, but each client needs its own information and configuration.

Industry	Useful WhatsApp Tasks	What to Confirm
Ecommerce & Retail	Delivery and returns answers, product guidance, order enquiries and permitted order changes.	Current policies, access to live order data and verification before account-specific actions.
Healthcare & Dental	Opening hours, location information and administrative appointment requests or scheduling.	Practice-approved information, booking-system access where needed and staff handling of clinical questions.
Hospitality & Leisure	Check-in information, parking, amenities and connected reservation tasks.	Correct property details and a working reservation connection for booking changes.
Professional Services	Service questions, project enquiries and consultation scheduling.	Agreed qualification fields, follow-up responsibility and the scheduling process.

Use the client's actual enquiries to choose which workflow to test. Record the information, permissions and system access it needs before including it in a proposal.

4. What agencies should look for in a reseller platform

Create two client environments during the evaluation. Check how the agency moves between them and what each client user can access. Review documents, conversations and enquiries under the relevant roles.

Test your branding on the portal clients will use. Confirm the custom domain, logo and color settings, along with any limits on invitations or notifications.

Conversation review also belongs in the demonstration. Your team needs to find unanswered questions, investigate incorrect information and check changes after an update. Ask what records are available and who can edit the configuration.

Review the provider's security documentation, data-handling terms and available processing agreement. These should help you assess the proposed client setup alongside its access controls and operating process.

5. How SendZen and Robofy work together

SendZen handles WhatsApp messaging in deployments that use its API. Robofy handles the configured AI conversation and connected agent capabilities. They address complementary responsibilities.

Responsibility	SendZen's Role	Robofy's Role
Receiving customer messages	Provides incoming-message events through its messaging interface.	Processes the enquiry when the supported connection passes it to the agent.
Preparing and sending replies	Sends outgoing messages and exposes delivery information.	Generates the answer using configured knowledge and tools.
Supporting agency operations	Provides messaging configuration and records for the API service.	Provides agent configuration, conversation review and reseller capabilities.

Confirm the supported connection, number ownership and support responsibilities for the deployment you choose. Do not assume that every Robofy setup requires a separate SendZen subscription or a custom connector.

SendZen documents receiving incoming WhatsApp messages through webhooks and sending text replies through its API. Use those references to verify the messaging portion of the proposed setup; the connection to the AI agent still needs its own configuration and tests.

6. White label WhatsApp chatbot pricing and client licenses

Robofy's white label chatbot pricing page lists these standard annual prices and shared monthly credit allowances, checked on October 22, 2026:

Plan	Annual List Price	Client Licenses	AI Credits / Month
Accelerator	$799	10	1,000,000
Growth	$999	15	1,200,000
Pro	$1,099	20	1,400,000
Enterprise	$1,199	Unlimited	1,600,000

Displayed monthly equivalents are billed annually. Check current offers and the final checkout total before purchasing.

Client licenses, agent limits and AI usage are separate allowances. Accelerator lists 10 AI agents; the other three plans list unlimited AI agents. Credits are shared across clients and cover conversations and training. Unlimited client capacity still comes with a defined usage allocation.

For an illustrative capacity check, suppose three clients together consume 600,000 credits from a 1,000,000-credit pool. That leaves 400,000 for other usage during the same allowance period. Include training and the rest of the account's activity when estimating the total. This is a budgeting example, not a prediction of client consumption.

Costs to include beyond the platform plan

Cost	What to Check
AI usage	Included credits, expected consumption and any top-ups.
WhatsApp messaging	Applicable Meta rates for the message category and recipient market.
Messaging provider	Fees and included services for the chosen API arrangement.
Agency delivery	Integration maintenance, information updates, conversation reviews and support time.

Meta's WhatsApp Business Platform pricing explains its messaging charges and free service messages within the customer service window. Free Meta service messages can still involve AI usage and provider costs. Check each cost separately before quoting.

7. How to price your WhatsApp AI service

Use the evaluation to define what your client package includes. Record the business topics, enabled actions, enquiry destination, review schedule and support responsibilities.

Separate setup from recurring delivery. Setup can include knowledge preparation, number configuration, integration work, testing and staff training. The recurring service should cover the agreed usage, updates, monitoring and support.

Calculate the time those commitments require before setting a fee. A client with published FAQs and one notification destination involves different work from a client needing order changes across several systems. Define how additional usage and changes will be approved.

Before quoting, confirm the chosen plan and any outstanding integration work. Explore Robofy's white label WhatsApp AI chatbot with the client's actual requirements, and test the workflows your agency intends to sell.
